A five-day trust-accounting close depends on daily control, clear exception ownership, and a three-way match. The close should confirm that reservation and owner activity, bank movement, and native accounting records agree before statements and payouts are released.

## The three records

### 1. PMS and owner-ledger record

The PMS provides reservation, folio, fee, tax, owner, payout, and property context. Guesty remains the live PMS source for the current VR Goals implementation.

### 2. Bank record

Bank activity confirms cash received, transferred, paid, returned, or still pending. Each trust and operating account needs a verified purpose and legal entity.

### 3. Native accounting record

The native ledger records debits, credits, liabilities, revenue, expenses, owner balances, job costs, and close adjustments. Operations supplies property and billing context where a maintenance, cleaning, damage, or guest charge affects posting.

The match should connect the reservation or owner event, bank movement, and ledger entry. A match is not complete because two totals happen to agree.

## Daily control before month-end

Run daily exception checks for:

- Unmatched deposits and payouts
- Missing or duplicate ledger entries
- Bank activity without reservation, owner, vendor, or property context
- PMS activity without expected cash movement
- Owner-billable job costs without support
- Negative or unusual owner balances
- Transfers between trust and operating accounts
- Stale exceptions and unresolved prior-period items

Daily work reduces close to review and correction. Waiting until month-end turns every variance into a research project.

## The five-day close

### Day 1: Lock the period and collect source facts

- Confirm the reporting cutoff.
- Load final PMS activity, bank transactions, native ledger entries, and approved job costs.
- Check source freshness and missing feeds.
- Assign every open exception.

### Day 2: Complete cash and trust matching

- Match deposits, payouts, transfers, refunds, chargebacks, and fees.
- Review unmatched items by age, account, property, and owner.
- Confirm owner-fund separation and account purpose.
- Resolve duplicates before posting adjustments.

### Day 3: Review property, owner, and job-cost detail

- Compare owner ledgers with reservation and accounting activity.
- Review maintenance, cleaning, damage, and guest-related costs.
- Confirm bill-to decisions and supporting documents.
- Clear property and owner coding exceptions.

### Day 4: Review statements and financial results

- Prepare owner statements.
- Review fees, payouts, reserves, taxes, and adjustments.
- Review profit and loss, cash position, and market variances.
- Route material exceptions for approval.

### Day 5: Approve, release, and preserve evidence

- Confirm the three-way match and open-exception policy.
- Approve owner statements and payouts.
- Complete the close checklist.
- Preserve the source, reviewer, adjustment, and approval trail.
- Carry accepted exceptions forward with an owner and due date.
